US and UK English: what businesses should adapt beyond spelling
Your document may already be in English, but the version familiar to your reader can still make a difference. Good adaptation considers terminology, context and consistency as well as spelling.
Start with the reader and the purpose
A proposal for a US customer and an internal handbook for a UK team need different decisions. Identify who will use the content, where they are based and what they need to do. Keep approved product names, contractual terms and factual information under the control of the document owner.
Check terminology, not just the spellchecker
US and UK readers may use different words for the same thing. In an everyday recruitment message, “résumé” may become “CV”, while “postal code” and “ZIP code” depend on the address being requested. A substitution is appropriate only when it preserves the intended meaning.
US version: “Our organization will send the updated enrollment information to the research center.”
UK version: “Our organisation will send the updated enrolment information to the research centre.”
Remove ambiguity from dates and times
A numeric date such as 04/05 can be read differently. Writing the month in words reduces that ambiguity. For an international meeting, state the time zone and check the actual date before converting a time; daylight-saving changes can affect the difference.
Keep the underlying facts intact
Do not change an address, currency, measurement or legal reference simply to make it look local. A business owner or appointed specialist should confirm any factual conversion or replacement. Language adaptation does not establish that an offer meets local legal or regulatory requirements.
Review the whole document set
- Agree the English variant and preferred terminology.
- Check headings, body copy, tables and captions for consistency.
- Keep brand names and approved technical terms unchanged unless instructed.
- Compare related website pages, proposals and customer instructions.
- Check the final file after layout or design changes.
